Privacy Policy
Last updated: 16 October 2026
This Privacy Policy explains how Qubex Solutions ("we", "us", "our"), the company that owns and operates Qubex Connect, collects, uses, shares and protects personal information. It is published in accordance with the Information Technology Act, 2000 and the rules made under it, and the Digital Personal Data Protection Act, 2023 ("DPDP Act") of India, to the extent applicable.
1. Who this policy covers
- Website visitors — people who browse www.qubexconnect.com or submit an enquiry, demo request or partner application.
- Customers — hotels, businesses and their staff who use the Qubex Connect dashboard.
- Wi-Fi guests — people who connect to a customer's Wi-Fi network that is managed with Qubex Connect.
2. Information we collect

- A record of your consent and the time it was given.

Customers
- Account and staff login details (name, email, role and encrypted password), property details, router connection details and billing information.
- Activity logs of actions taken in the dashboard, kept for security and support.
Wi-Fi guests
When a guest connects to a network managed with Qubex Connect, the following may be processed, depending on the login method the property has chosen:
- Guest name, room number, check-in and check-out dates (entered by the property).
- Mobile number (for SMS one-time password login or WhatsApp sharing of login details).
- Basic profile information shared by Google or Facebook when a guest chooses social login (typically name and email address).
- Voucher or username used, device MAC address and IP address, session start and end times, and data usage.
3. How we use information
- To respond to enquiries, arrange demos, prepare proposals and review partner applications.
- To provide, operate, secure, support and improve the Qubex Connect service.
- To authenticate Wi-Fi guests, apply the plan limits set by the property and show guests their usage.
- To bill customers and keep accounting records.
- To prevent fraud, spam and misuse, and to meet legal obligations, including lawful requests from government authorities.
We do not sell personal information, and we do not use Wi-Fi guest data for our own marketing.
4. Our role for Wi-Fi guest data
For Wi-Fi guest data, the hotel or business that operates the Wi-Fi network decides why and how the data is collected, and is the data fiduciary (data controller). We process this data on the property's behalf, as a data processor, under our agreement with them. Guests who have questions about their data should contact the property first; we will help the property respond.
5. Legal basis
We process personal information on the basis of consent (for example, when you submit a form or accept analytics cookies), for the performance of our contracts with customers, and for legitimate uses permitted by law, such as complying with legal obligations and keeping our systems secure. You may withdraw consent at any time; this will not affect processing that took place before withdrawal.
6. Sharing
We share personal information only as needed to run our business and the service:
- Service providers who host our website and servers, deliver email, send SMS one-time passwords and WhatsApp messages, and process payments. They may use the information only to provide their services to us.
- Login providers such as Google and Facebook, when a guest chooses social login. Their own privacy policies apply to that sign-in.
- The property whose Wi-Fi a guest uses, which can see its own guests' data in its dashboard.
- Authorities, where required by law or a valid legal request.
- A buyer or successor, if our business is reorganised, merged or sold, subject to this policy.
7. Where information is stored
Our servers and service providers may be located in India or in other countries. Where information is transferred outside India, we do so in line with applicable law and take reasonable steps to protect it.
8. How long we keep information
- Enquiries and partner applications: up to 24 months after our last contact, unless they lead to a business relationship.
- Customer account and billing records: for the duration of the subscription and as long as needed afterwards for legal, tax and accounting purposes.
- Wi-Fi guest data and session logs: for the period set by the property and any longer period required by law (for example, rules on retaining Wi-Fi access logs), after which it is deleted or anonymised.
9. Security
We use reasonable security practices, including HTTPS encryption, encrypted storage of router and user passwords, role-based access for staff, login attempt limits, and rate limiting and spam checks on our forms. No system is completely secure, but we work to protect your information and will notify affected parties and authorities of a personal data breach where the law requires.
10. Your rights
Subject to applicable law, you have the right to:
- request a summary of the personal data we hold about you and how it is used;
- request correction, completion, updating or erasure of your personal data;
- withdraw your consent;
- nominate another person to exercise your rights in the event of death or incapacity; and
- have your grievance addressed, and, if you are not satisfied, complain to the Data Protection Board of India.
If you are in another country, you may have similar rights under your local law. To exercise any right, email info@qubexconnect.com. We may need to verify your identity before acting on a request.
11. Children
Our website and dashboard are intended for businesses and are not directed at children. Properties that allow children to use their Wi-Fi are responsible for obtaining any parental consent required by law.
12. Third-party links
Our website links to other services, such as WhatsApp. We are not responsible for their privacy practices.
13. Changes to this policy
We may update this policy from time to time. The latest version, with its "Last updated" date, will always be published on this page.
14. Grievance Officer and contact
